It was a joy to work with the ZiaBia team on our executive healthcare forum. Delivering a successful event isn’t just about meticulous planning, calm organisation and a laser focus on the attention to detail. It’s also about having the ability to anticipate and fix problems before they happen and spotting things that need doing then just getting them done. Over the last six months Debbie and Vicky have done exactly this and worked as part of our team to create and deliver a brilliant event. We worked with Vicky & Debbie on a Royal event in London which included creating a foody street festival with live music in addition to a sit down organic lunch for 300 guests - with the added complication that the event had to be delivered on a tight budget and in an extremely short timescale. Vicky and Debbie had incredible attention to detail, were very good at coming up with concept and decoration ideas and were a pleasure to work with. They were also brilliant at getting stuck in to help deliver the event on the day and were not afraid of getting their hands dirty! I recently worked with Debbie and Vicky on the 2017 UK & IC Kick Off event for Elavon. They are a fantastic team to work with, they are on top of everything constantly and their attention to detail is fantastic. We were introduced to Ziabia by our design agency Yebo.
We had been asked to deliver a European Partner event in the UK at very short notice and we needed an event management specialist to support us. At the time I did not have an UK marketing resource and needed a vendor who could support me and become part of my team.
Working with a new vendor on such a critical event with an immensely short lead time of 3 months was a high risk strategy but one which paid off. The event had been running for 8 years. An annual gathering of 100 strategic payments partners from global payment device manufacturers to payment gateway providers and independent sales organisations. The purpose was to update them on our business strategy and engage them on how they could be integral to our execution of our strategy. We had 100% positive feedback from all delegates and both internal colleagues and external partners confirmed it was the most professional and engaging conference that we have ever hosted. The outputs from the conference have now driven a new event strategy for our Partners and have resulted in a 50% cost saving year on year. Ziabia were truly brilliant, their attention to detail on delegate management meant every partner was looked after on a 1:1 basis and the event was delivered on time and to budget.
The success of this event resulted in Ziabia being appointed to manage a pan European internal event hosted in Poland for 250 colleagues from 5 markets over two days. The most complex event I have ever managed and again it was delivered in under 4 months. Our Corporate Travel Management company let us down with flight bookings in January. We needed 250 people to be in Poland on specific dates early February. Ziabia took control and booked flights direct and co-ordinated transfer logistics for 250 sales people ensuring they all arrived and departed on time. The two day event was truly outstanding. The colleague feedback was excellent. Nothing is too much trouble for the team at Ziabia their ability to remain calm in times of crisis is a real strength. Outstanding team players with military precision on detail who will always rise to the challenges events present.

I was delighted to be introduced to Vicky and Debbie to manage our registration process for the IHG Europe Conference in 2014. Together, they collaborated with us on the requirements, adjusted changes to accommodate delegates from throughout Europe and proactively made suggestions to ensure a seamless operation. We built a bespoke website that was able to take credit card payments as required, or cost center codes could be added to be charged internally. In turn they also had a close working relationship with the internal accounts team at IHG.
What I loved most was their positive attitude and creative solutions when we ran into one off exceptions. I appreciated having Vicky on site to assist with the delegate management. Her calm demeanor and willingness to jump in to help made a huge difference to ensuring the registration was as top notch as the event itself.

This was no easy challenge, to pick up a live project and take it over completely. It was imperative, therefore, that we gained the client’s confidence quickly, which we duly achieved by delivering a very clear, concise project plan and by sticking rigidly to the available budget.

“Speaking as the Chair of the SAGE (Safety Advisory Group for Events group for B&NES it was both an honour and a challenge for my Council to be chosen to host the Special Olympics in 2013.
The complexities of arranging two major events – the Opening Ceremony & The Families Evening – were made easier for my colleague Linda Todd, who performed the “One-Point-of-Contact Role”, by working with both Vicky and Debbie from ZiaBia. As a team we worked professionally and positively on responding to the complexities of both events, which involved significant numbers of people and the consequent logistical issues. What drove us on was the collective desire to ensure that the athletes and their families had the best experience in the City of Bath. We achieved this by regular weekly meetings in which we all learned from each other’s areas of expertise. Between us Linda and I guided Vicky & Debbiethrough the statutory challenges which resulted in positive plans which laid the foundations of both events. In terms of delivery – not everything always goes to plan – but as a team on the day we met those challenges and dealt with the technical problems which occur at every event whilst ensuring that our objectives were met in full – and they were; and everyone had a brilliant time! As for ZiaBia – both Vicky and Debbie want to do some more large events and I look forward to working with them again in the near future”!
The Opening Ceremony for the 2013 National Summer Games was a great opportunity to get to know Vicky and Debs and to establish an excellent working relationship and, as such, they were the obvious people to turn to when we needed some very last minute support and guidance to organise and deliver our Families Social Night.
This was a much anticipated outdoor evening event with a hog roast supper and entertainment for 1,000 guests. Although many elements of the event had been started, they was a real need in the final few weeks for some focused time and professional expertise to pull everything together to ensure that the much anticipated event would be a success.
Once engaged to fulfill this role, Vicky and Debs wasted no time in undertaking a full progress and status review and produced a comprehensive event management plan highlighting any areas of concern or requiring immediate attention and the actions required within strict deadlines to pull us right back on track. Quick and efficient progress was immediate with real attention to detail and we received updates and communication almost daily, so that we were kept fully in the loop.
Vicky and Debs maximised their network of contacts across a whole range to areas to include catering and furniture, to sound and lighting and all the suppliers provided a great service. On the day itself, Vicky and Debs were first to arrive on site for the set up phase and last to leave when the site was finally cleared and took full responsibility for overseeing all operational elements of the evening. They were fully visible throughout the evening keeping a very close eye that we were keeping on schedule and the outcome.
Our Families had a wonderful evening and everything ran like clockwork and yet retained a great feeling of informality ensuring that all our guests could relax and have fun. Vicky and Debs were integral to the success of the evening. We had full trust and confidence in their understanding of our requirements and what we were hoping to achieve.
They were always calm, always focused and always smiling and we appreciated all their help and support. I’m sure we will be working with them again in the future and I would recommend their very personal and professional service without reservation.

Ziabia were an invaluable resource in helping to pull together our recent offsite meeting in France. They put together an excellent meeting registration site in next to no time. They were communicative, detail orientated and very fast to respond to delegate queries. I would have no hesitation in using their services again in future.
